HR Coordinator (Aberdeen)

Role Summary

To act as a first point of contact for offshore personnel for designated rig(s). Provide support to the Rig Manager and Drilling Superintendent for all offshore HR Matters. Lead in recruitment, performance management and training & development for designated rig(s). Actively work to improve employment policies, process and practices as well as recommend changes to management.

Key Responsibilities 

  • Accountable for the crew rota in liaison with the Rig Manager and Drilling Superintendent, providing timely check-in details and arrange travel as per Borr’s Travel Policy
  • Ensure all necessary crew change paperwork is submitted to the client in a timely manner
  • Responsible to ensure rig is fully crewed at all times
  • Provide advice and guidance to offshore Supervisors and Drilling Superintendents regarding Disciplinary and Grievance matters
  • Provide advice and guidance at Disciplinary and Grievance meetings; ensure all paperwork pertaining to the process is accurate and provided to offshore Supervisor in a timely fashion
  • Periodic offshore/shipyard visits
  • Monthly reporting on crew matters, ensure absolute quality in filling/data input: maintain up to date HRIS records
  • Manage exceptions for payroll; ensure payroll advised in a timely manner
  • Benefit Administration
  • Support Rig Manager and Drilling Superintendent with promotions, demotions and transfers
  • Support offshore personnel with all leave requests (ie. Sick leave, compassionate etc) and any other general HR queries
  • Maintain accurate and up to date personnel files (paper and HRIS system)
  • Accountable for understanding HR policies and processes and communicating them to offshore personnel; initiate updates as necessary
  • Any other HR generalist duties as directed by the HR Manager
  • Coordinate with Senior Recruiter on recruitment and induction of new personnel
  • Liaise with crew agencies for supply of ad-hoc personnel
  • Verification of qualifications/documentation for ad-hoc personnel
  • Support Senior Recruiter with recruitment events as required
  • Responsible for timely renewal of mandatory certification and offshore medicals for offshore personnel in accordance with training matrix
  • Book training courses for offshore personnel: arrange course travel and accommodation and liaise closely with offshore personnel throughout process. Ensure most cost effective solution for training is arranged
  • Upload all certificates to the Training Management System and/or HRIS system as required and provide 1st line approval for invoices
  • Maintain familiarity with Competence Management Process
  • Provide support to the Emergency Response Team as required
  • Provide HR on-call cover as and when scheduled
  • Take personal responsibility for own continued professional development and undertake any training as required
  • Perform other duties, complete additional tasks and support ad hoc projects as required

Qualifications & Experience

  • Bachelor’s Degree in Human Resources or similar qualification or extensive relevant experience at Company’s discretion
  • Achieved or working towards CIPD membership or local equivalent
  • Valid offshore survival and pre-mobilisation certification (ie BOSIET, MIST, CA-EBS, etc.)
  • Experience in general HR or Logistics/Crew Management
  • Excellent communication skills: Fluency in written and spoken English required
  • Competent using HRIS systems and MS Office
  • Ability to maintain accuracy and attention to detail while working in a complex, challenging environment to tight deadlines
  • Demonstrate commitment to Borr’s Management Systems and support initiatives for continuous improvements
  • Maintain confidentiality of Company and personnel information
  • Highly effective relationship building skills both internal & external; personally drive high performance and lead through example
  • Demonstrate a professional attitude at all times while dealing with a wide range of people in all communications (face-to-face, telephone and written)
  • Proficient problem solving skills; demonstrate ability to evaluate problems from differing viewpoint and recognize potential root cause of problems (ie compliance, training issues)
  • Ability to work in a team, to influence people and generate enthusiasm
