Role Summary
We are seeking a self-motivated, detail-oriented individual well versed in Office Coordination/Facilities/Administration.
Responsibilities
- The incumbent will be involved in daily administration tasks providing effective and efficient administration services, which will involve contact and exposure to highly confidential materials and information
- Meet and greet clients and visitors
- Screens telephone calls, emails and / or visitors
- Answers routine questions and responds to correspondence
- Update contact lists
- Manage deliveries, post, couriers
- Manage meeting room reservations
- Organize and schedule appointments
- Order office supplies
- Provide travel/logistics support
- Additionally, project work will be assigned
- Focal point for Office relocation & Fit out
- Oversee and coordinate internal moves
- Maintain relationship with building contractors / vendors
- Provide progress updates
- Perform other duties as assigned by Senior Management as and when required
Qualifications / Experience / Attitude & Behavior
- Work experience in a similar role
- PA experience advantageous
- Above average working knowledge of Microsoft Word and Excel
- Ability to work within a team and on own initiative and build relationships with managers
- Communicate in a professional manner at all times both internally and externally
- Energetic, reliable, adaptable and used to using own initiative
- Keen eye for detail
- Strong communication skills
- Ability to deal with highly sensitive and confidential information
