Summary
To maintain a welcoming, safe and tidy reception and other public areas; receive and log all visitors to the office; and direct incoming switchboard calls as required. To be the “face” of Borr Drilling and represent the Company in the highest professional manner. The Receptionist will be responsible for booking of taxis, incoming and outgoing mail, ordering stationery and other office supplies, maintaining internal telephone directory and divisional organisational chart. To support with other duties within the HR Department, including but not limited to Training course booking, reporting and compliance.
Responsibilities
- Meet, greet and direct office visitors in a professional and welcoming manner
- Answer and route all calls from main switchboard in a timely and professional manner: take and distribute messages as required
- Ensure all public areas (reception, meeting rooms etc.) are safe, clean and tidy at all times
- Responsible to issue security passes and maintain accurate visitors’ log: replace lost or stolen passes and ensure access for these are cancelled
- Distribute incoming mail and post outgoing mail: both standard and non-standard (ie courier, special delivery etc.)
- Track, Send and Receive Rig Mailbags and distribute as required
- Manage taxi booking requests
- Manage meeting room bookings and maintain diary in Outlook
- Maintain telecommunications system and liaise with telecoms provider or Corporate IT/Telecoms where necessary, to resolve any issues in a timely manner and ensure staff are kept appraised of any issues/problems
- Maintain sufficient levels of office refreshments (tea, coffee, milk etc.) at all times
- Monitor, control, and order office supplies and maintain appropriate levels of key items
- Maintain and distribute accurate and up to date internal telephone directory and organisational chart for Europe Division
- Take personal responsibility for own continued professional development and undertake any training as required
- Support HR Department in tasks relating, but not limited to: Arranging course related travel and accommodation for personnel as required in line with Borr’s Travel Policy
- Liaise with key onshore and offshore personnel to manage and maintain compliance targets in relation to training and competence in the North Sea & West Africa.
- Liaise with Training Providers regarding bookings for personnel attending courses
- Liaise with personnel booked on courses, providing joining instructions relating to venue, travel and hotel arrangements
- Produce monthly Training & Competence reports and submit to appropriate department’s onshore and offshore
Qualifications / Experience
- High School English and Maths or equivalent
- Previous experience as a Receptionist
- Knowledge of the Drilling Industry
- Knowledge of Drilling Industry Training Practice
- Workday and Mintra system’s experience is highly desirable
- Ability to work as part of a team and individually, uses own initiative to identify and prioritize
- Highly organised and responsive, with the ability to handle multiple tasks simultaneously
