Role Summary
Responsible for the provision of administrative assistance, document control, and software system support to the Technical, QHSE and Operations departments. Time to be split between the three departments on an equal basis.
Responsibilities
QHSE
- Responsible to administer, process and coordinate the Management of Change (MOC) document change process in accordance with Company policies and procedures
- Keep QHSE Intranet page updated, and coordinate news stories to be posted
- Update and maintain Monthly HSE Statistics, prepare regular HSE reports and as requested by management or Marketing in relation to Tenders.
- Filing of all QHSE documents including Security related documents
- Keeping trackers and lists updated as required
- Updating and maintaining environmental data from the fleet
- Create actions (CAPAs) in EHS as required and follow up closure of same as required.
- File, track and distribute Safety Alerts to the fleet.
- Provide user support as System Administrator of HSE applications in coordination with service desk and application vendor.
- Monitor correct use of systems for the following applications:
- Management System Application
- HSE Reporting Application
- Incident Investigation Application
- Assist with administrative tasks as required during the implementation and roll out of new HSE applications. (Document Management System in progress at point of hiring.)
Technical
- Responsible for maintenance change request processing, and monitoring of status.
- Responsible for administration of Engineering Management of Change (MOC) process.
- Administration of Alert, Advisories and Bulletins (AAB) process including document entry to the CMMS.
- Administration of Maintenance Performance Monitoring system (Reports, KPIs).
- Ensure all received technical documents are filed on SharePoint/Company Intranet as required.
- Ensure the Rig Marine Certification is updated on SharePoint / Company intranet as directed by the Marine Manager.
- Keep the Technical Intranet page updated, and coordinate news stories to be posted.
- Assist with documentation/administrative tasks to support the onshore Technical team, as directed by the Technical Director/Technical Manager.
Operations
- Responsible to assist the COO as directed
- TNP – Daily QA / QC check of TU report. Daily QA/QC check of Minimum Safe Manning report.
- Monthly Scorecards – Prepare Monthly consolidated report and score cards. Liaise with RMs to ensure the data, formatting, overall scores correct.
- Monthly TU / EU presentation for COO & Finance Director.
- Arrange, administrate and distribute customer surveys.
Qualifications & Experience
- Good IT skills including MS Office applications.
- Excellent communication skills in English, both written and verbal.
- Capable of acquiring and applying detailed technical and regulatory information.
- Must be capable of handling high workloads on multiple fronts to demanding deadlines, occasionally outside of normal working hours.
- Good attention to detail and organisational skills are required as well as a high level of confidence to work with and report to senior management personnel.
- Previous document control / administrative support experience and skills, preferably working within the areas of QHSE and/or technical within the oil & gas industry.
- Experience as System Administrator / Superuser of IT systems.
- Experience working with a drilling contractor is preferred.
